Human Resources Assistant
The Human Resources Assistant is responsible for a wide range of support activities inside the Brooklyn Museum’s HR department, from maintaining the employee database to posting job ads. An important part of the role is to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. The assistant also assists in creating policies, processes, and documents.
Qualifications:
- High school diploma or equivalent required; some college coursework in HR, business, or a related field preferred
- One to two years of experience in an administrative support role required
- Strong organizational skills and attention to detail
- Excellent written and verbal communication
- Basic knowledge of labor laws
- Proficient in Microsoft Office, especially Excel and Word
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
- Ability to work independently and as part of a team
- Familiarity with Paycom or other HRIS systems
- Willingness to learn and adapt to modifying existing HR processes and functions
Responsibilities:
- Serve as initial point of contact for the HR office
- Maintain accurate and up-to-date human resource files, records, and documentation
- Assist the HR Generalist and Talent Manager with new hire orientation and onboarding processes as needed
- Maintain probationary end dates and coordinate end-of-probation letters with managers
- Assist the Talent Manager with job postings to internal job boards and external sites
- Provide onboarding assistance to the Education Department, including requesting and following up on receipt of all required applicant paperwork, i.e., applications, résumés, job descriptions, Form I9–supporting documents, and Technology request forms from managers
- Maintain the HR department’s office supplies, copier, and printers and liaise with copier repair calls
- Administer the departmental master calendar
- Assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks
- Complete employment verifications and loan forgiveness forms requests
- Coordinate shredding pick-ups for the HR, Development, and Finance departments
- Coordinate monthly departmental water delivery
- Send bereavement/birth/get well cards, notifying the Director’s Office when sending
- Complete maintenance employee personnel files including actives, terminated, and retirees
- Assist with Paycom ESS and Paycom Client password resets
- Create and maintain I.D. cards for employees, contractors, volunteers, and interns
- Update all I-9 and EEO binders
- Assist with answering telephones, as needed, and take detailed messages
- Complete all other duties as assigned or requested for the general support of the HR department
